Job Overview

We are looking for a motivated and organised Receptionist / Administrator to join our team in Bolton. This role is ideal for someone with prior experience in a legal environment who thrives in a dynamic setting and is committed to providing exceptional client service. You will be the first point of contact for our clients and visitors, managing front desk operations and supporting the wider team with essential administrative duties.

Key Responsibilities

  • Front Desk Duties: Welcome and greet all visitors and staff in a professional, courteous manner.
  • Phone Handling: Answer, screen, and direct incoming calls; take and relay messages accurately.
  • Administrative Support: Perform routine administrative tasks such as filing, photocopying, scanning, and handling mail.
  • Appointment Coordination: Schedule and manage appointments and meetings; assist with calendar coordination.
  • Client Interaction: Handle client inquiries professionally and direct them to appropriate personnel.
  • Data Management: Maintain and update records, databases, and client files with accuracy.
  • Legal Assistance: Support the legal team with documentation, case file preparation, and compliance-related duties.
  • Office Management: Monitor and manage office supply inventory; place orders when needed.
  • Document Preparation: Assist in drafting reports, presentations, and internal documentation.

Requirements

  • Proven experience in a receptionist or administrative role, ideally within a legal setting.
  • Familiarity with legal terminology and procedures.
  • Excellent communication, interpersonal, and organisational skills.
  • Ability to manage multiple tasks and prioritise in a busy office environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Professional attitude with strong attention to detail.
  • Capable of working both independently and collaboratively as part of a team.

Preferred Qualifications
